Visa D - Long Stay

The Embassy of Belgium in Warsaw handles all visa applications for residents in Poland, Lithuania, Latvia and Ukraine. You need a valid residence permit in one of these countries to apply for a visa. Please note that citizens of EU member states, Norway, Iceland, Liechtenstein or Switzerland do not need a visa for Belgium, but if staying longer than three months in Belgium, they must register themselves at the municipality where they will be living in Belgium. 

The entire application process can take up to several months as the Embassy must submit certain visa applications to the Immigration Office for a final decision. It is the only competent authority with regards to the admittance, stay, residence and removal of foreigners from Belgian territory. In such a case, your file number will be communicated to you by the Embassy upon the submission of your file to the Immigration Office. The required visa application documents depend on the visa category. Below you will find lists of needed documents per category for the main visa types. Before proceeding to collect the requested documents, please read the description at the top of the document carefully. Please also contact us in case of a family reunion visa. Regarding family reunion visas, there are different procedures and requirements depending on the situation of the visa applicant and the situation of the reference person the visa applicant will join in Belgium. How to apply 

  1. Create an account online on Visa on web. Choose a password (and confirm it) to access this secure site. Once the user account is created and the password confirmed, log in to navigate this secure site (which starts with a screen and a welcome note).  
  2. Check the left column (in the black margin) and click on the third icon. By clicking on the third icon, you will have the choice between 'Requests', 'New request' and 'Request list', click on 'New request'.  
  3. Fill out the online form, making sure to fill in all the fields (including those marked with an asterisk) and clicking on the question mark if you do not understand the scope of the field to be completed. 
  4. When the form is completed, click on 'submit application'. If the form is incorrectly completed, an explanation at the top of the form will draw your attention to incomplete entries that you will need to complete; Once the corrections have been made, please resubmit the application. 
  5. When the application has been submitted you will receive a pdf form with a barcode and VOW number on it (VOWINT0 ... 111") by email. Please print the completed form and sign it.  
  6. You must schedule an appointment through your account if you did not submit your fingerprints to any Schengen country in the past 59 months. When applying with family members, you must book one appointment per person. 
  7. Gather all required documents, print the checklist applicable to your situation below and your application. 
  8. Go to your appointment. 
     

Fees

The fee consists of 2 parts:

  1. The handling fee - see consular fees -  is paid in Zlotys and must be paid at the Embassy. We only accept payments by card or bank transfer. 
  2. An additional contribution fee to be paid directly to the immigration office is required for the processing of visa D applications. Please provide proof of this payment as a part of the visa application. If the application does not contain proof of payment, the application will be considered inadmissible. In case the applicant is exempt from paying the handling fee, he or she may not necessary be exempted from paying the contribution. The handling fee is not refundable in case of refusal or cancellation of the application.
